Job Description
Your Role at Raising Cane’s:
The Facilities Coordinator is responsible for the planning, organizing, executing, and communication of administrative tasks for the Restaurant Repair and Maintenance team. They will serve as a driver of collaboration between restaurants, RSO crew, and vendors. This role is based at the Plano RSO and reports to the Regional Director of Facilities.
Your Impact and Responsibilities:
- Maintains and updates statuses, contact information, and alignments within the Work Order (WO) system to ensure accuracy
- Supports new restaurant opening (NRO) tasks, communicating with service providers, data mining, and addressing support needs
- Audits and updates databases to ensure accuracy and addressing support needs
- Creates and modifies scheduled services within work schedules
- Assigns, retires, adds, and removes service providers from systems as needed
- Supports email, phone, and service channel activities related to technical issues, pricing updates, frequency changes, scope changes, and other needs
- Facilitates communication with internal and external business partners to coordinate services, share schedules, and maintain program scopes and services
- Completes contracts for onboarded service providers and maintains the database of active providers
- Reconciles and processes invoices, including invoice capture and account reconciliation
- Supports internal and external users of the work order system
- Maintains contract records and COI renewals
- Supports facilities projects, tests, and yearly service programs by tracking, creating WOs, staging communications, and assisting providers and crew
- Resolves outstanding needs for crew and providers, including invoice research, processing, plan set sourcing, communication staging, pest control, and damage reporting
Qualifications
Requirements for Success:
- 2+ years of administrative experience or project support within the restaurant, retail, c-store, grocery, or logistics industries
- Experience in CMMS (specifically Service Channel), Workday, SharePoint, Smartsheet’s, and DocuSign
- Microsoft Proficient/Master: Excel, PowerPoint, and Word
- Detail-oriented, organized, and able to manage multiple priorities that may be constantly changing
- Strong decision-making capabilities and able to deliver within tight deadlines
- Self-driven, flexible, and highly energetic with strong analytical, written, and verbal communication skills
- Able to work effectively and efficiently both independently and collaboratively
- Able to work at the Dallas Restaurant Support Office located in Plano, TX
