Job Description

The Events Specialist is a hands-on, detail-oriented role that supports the full event lifecycle from planning to execution for internal events, offsite gatherings, summits, and celebrations. This role will lead smaller-scale events independently while contributing to larger cross-functional initiatives. The Events Specialist thrives in a fast-paced environment and enjoys creating organized, impactful experiences through logistics and planning.

Your Impact and Responsibilities:

  • Support planning and execution of internal events and conferences across various scales
  • Provide on-site event support, including setup, registration, and coordination
  • Manage attendee lists, track RSVPs, and ensure clear and timely guest communications
  • Maintain event budgets, track expenses, and process vendor payments
  • Create and update timelines, production schedules, and documentation
  • Lead weekly status meetings and monitor task completion
  • Conduct supplier and product research to support event decisions
  • Maintain and organize planning documents for accessibility and reporting
  • Lead smaller-scale events from planning through execution

Travel Requirements:

  • Up to 20% of travel domestically and internationally for event support

Qualifications

  • 3+ years of professional experience in event planning, logistics, or related coordination
  • Bachelor’s degree in hospitality management, marketing, business, or a related field
  • Advanced proficiency in Microsoft Excel for budget, data, and list management
  • Proficient in event management software, such as Cvent, with the ability to quickly adapt to new systems (e.g., Zoom, Teams, SharePoint)
  • Collaborative and self-motivated with strong communication and organizational skills
  • Flexibility to work non-standard hours as needed

Preferred Qualifications:

  • Experience with travel logistics and coordination
  • Continuing education or certification in event management
