Job Description
The Benefits Specialist is responsible for the administration of all Health and Welfare and Time Off Programs. This includes supporting the Benefits team, with a deep understanding of group health plans and benefits administration, coordinating leave of absence, compliance initiatives, communication, and all routine benefits processes. This position will assist crewmembers and key stakeholders with their benefit and leave inquiries through interaction, understanding, review, and administration of the benefit/time and leave programs.
- Performs multiple routine data audits and reconciliations to assist in maintaining data integrity, compliance, and accuracy of all crew data
- Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information
- Processes billing payments for all carriers
- Responds timely to crewmember escalations, resolving any issues in Workday and with providers
- Identifies trends and recommends opportunities for process improvement and enhancements
- Supports open enrollment administration, testing, communication, and reporting as needed
- Completes testing on benefit processes and reporting functionality, regular system updates, enhancements, and provider implementations as needed
- Partners with communications team on ongoing communication initiatives through various methods
- Leads new-hire orientations benefits sessions
- Handles the leave of absence administration process from the crewmember initial notice of the need for leave to the return to work
- Advises managers and crewmembers on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits
- Preserves confidentiality of employee medical documentation and files
- Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws
- Performs other projects and duties as assigned
Qualifications
- Bachelor’s degree preferred
- 3-5 years of multi-state benefits and leave experience preferred
- Proven experience in benefits and leave administration
- Proficiency in HRIS systems and leave management software, preferably Workday
- Thorough understanding of employee benefits and legal protections afforded by ERISA, COBRA, PPACA and other applicable laws
- Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws
- Strong interpersonal and communication skills, with the ability to effectively communicate complex policies and procedures to crewmembers at all levels with a customer service oriented approach
- Able to manage highly confidential information and maintain strict confidentiality
- Detail-oriented, organized and able to manage multiple priorities that may be constantly changing
- Able to work effectively and efficiently both independently and collaboratively
- Microsoft Proficient: Excel, PowerPoint, and Word
- In-depth knowledge of federal, state, and local regulations related to paid sick leave, PTO, and other leave programs.
- Strong analytical skills with the ability to interpret data and make data-driven recommendations.
- Proficiency in HRIS (Human Resources Information Systems) and other relevant software applications.
